Looking for Temporary, Full-Time (1-Year Term), Hybrid Executive Assistant
$65,000–$80,000 a year
We are seeking a highly organized and proactive Executive Assistant to support the Chief Administrative Officer and the Chief and Council. This role provides essential administrative, governance, and communications support that contributes directly to the effectiveness of leadership and the delivery of services to the community. DUTIES AND RESPONSIBILITIES:
Administrative Support
· Manage calendars, schedule meetings, and coordinate travel arrangements.
· Prepare correspondence, reports, and presentations.
· Maintain filing systems and ensure confidentiality of sensitive documents.
· Track deadlines and follow up on action items.
· Support in connecting with membership to maintain positive relationships and help resolve concerns.
· Manage and maintain organizational records and documentation systems.
Meeting & Event Coordination
· Organize logistics for meetings and workshops.
· Prepare agendas, take minutes, and distribute meeting materials.
· Liaise with internal departments and external partners.
Governance & Communications
· Support Chief & Council communications and documentation.
· Assist with preparation of briefing notes.
· Coordinate internal communications and updates.
· Prepare weekly Chief and Council meeting packages.
Project & Process Optimization
· Identify and implement process improvements to streamline workflows and enhance operational efficiency.
· Assist with special projects and initiatives led by the Chief Administrative Officer.
Financials
· Track, code, and submit expenses, invoices, and receipts to the finance department.
· Support budget tracking.
QUALIFICATIONS:
· Minimum 4+ years of experience in an administrative or executive support role.
· High proficiency in Microsoft Office Suite and virtual collaboration tools.
· Strong written and verbal communication skills.
· Ability to manage multiple priorities and work independently.
· Demonstrated professionalism, discretion, and cultural sensitivity.
· Experience with record management systems and practices.
ASSETS:
· Diploma or certificate in Office Administration, Business, or a related field.
· Experience working with Indigenous governments or not-for-profit organizations.
· Familiarity with governance processes and community engagement.
· Knowledge of Nlaka’pamux language or culture.
SALARY:
· $65,000 – $80,000 commensurate with education and experience.
