Looking for a Full-time, Fixed term contract Band Executive Assistant

$24–$28 an hour

Position Overview

We are seeking a highly organized and proactive Band Executive Assistant to provide executive-level support to the Band Administrator. This role is integral to the efficient operation of the Band’s administrative functions and will involve interacting with various community stakeholders. The ideal candidate will be someone who values Indigenous culture and is committed to supporting our community's vision.

Duties and Responsibilities

  • Assist the Band Administrator in daily administrative tasks, including managing schedules, organizing meetings, and handling correspondence,
  • Prepare meeting materials, agendas, and minutes, ensuring that information is shared effectively with stakeholders,
  • Maintain organized files, documents, and records, ensuring confidentiality and streamlined access for the Band Administrator,
  • Coordinate travel and accommodations for the Band Administrator and other officials as needed,
  • Assist in the preparation of reports, presentations, and other documentation required for meetings and community consultations,
  • Act as the first point of contact for the Band Administrator, managing inquiries and communications with professionalism and cultural sensitivity,
  • Support the planning and coordination of community events and initiatives that reflect our cultural values and promote community engagement,
  • Oversee office operations, ensuring all administrative functions run smoothly and efficiently,
  • Other ad hoc duties as assigned by the Band Administrator.

Knowledge, Skills, and Abilities

  • Understanding of Indigenous cultures, traditions, and community dynamics, with a focus on respect and sensitivity in all interactions,
  • Strong verbal and written communication abilities, including active listening and the capacity to effectively share stories and ideas,
  • Ability to build rapport and establish trusting relationships with diverse individuals and groups within the community,
  • Experience collaborating in a team environment, valuing each member’s contributions to achieve shared objectives,
  • Proficient in mediating conflicts with emphasis on empathy, understanding differing perspectives, and utilizing restorative practices,
  • Flexibility in responding to changing circumstances and the resiliency to navigate challenges effectively,
  • A genuine concern for the well-being of others, actively supporting community members in need, and
  • Dedication to personal and professional growth through continuous learning.

Experience, Education and Requirements

  • Previous experience in administrative assistant role, support roles, or relevant volunteer work within Indigenous communities or similar environments,
  • A certification in office administration, human services, Indigenous studies, or a related field is preferred but not required,
  • A combination of education and experience may be considered,
  • Familiarity with organizing and coordinating community events that promote cultural awareness and foster community spirit,
  • A proactive approach to taking on responsibilities and contributing positively to community projects without constant supervision,
  • Willingness to work flexible hours, including evenings and weekends, to meet the needs of the community and participate in events,
  • Valid Driver’s Licence and own transportation, and
  • Ability to pass a criminal record check.
