Is looking for an Assistant Registrar

$87,854 annually

Reporting to the Registrar, the Assistant Registrar provides operational leadership for admissions and registration services and directly supervises Recruitment, Admissions, and Registration Officers (RAROs) Positioned between the Team Lead and Associate Registrar, the role translates institutional direction into consistent daily practice, maintains clear service standards, and ensures accurate, timely data entry across admissions and registration workflows.

The Assistant Registrar oversees admissions and registration workflow for Merritt. Vancouver, En’owkin, HCAP, and other affiliated programming outside Community Education (CE), while collaborating with the Associate Registrar on CE-related programming and workflow. The role supports learner-centered, culturally responsive service, monitors data quality and operational standards, addresses escalated workflow issues, and prepares admissions and registration information for institutional decision-making.

  • Operational Leadership and Staff Supervision:
    • Provide direct supervision, coaching, performance oversight, and workload coordination for RAROs
    • Established service standards, operational priorities, and accountability for admissions, registration, records, and learner services
    • Coordinate staffing, training, onboarding, and service coverage to ensure consistent operations and a positive team culture
    • Resolve escalated learner and employee concerns while fostering collaboration, continuous improvement, and learner-centered service
  • Admissions & Registration Operations:
    •  Oversee admissions and registration processes to ensure accurate, timely, and consistent application processing, learner record management, and registration services
    • Coordinate learner intake, cohort management, and registration setup for programming associated with the Merritt and Vancouver campuses, En’owkin Center, and HCAP program delivery
    • Lead operational planning for key enrolment periods, including admissions, registration, orientation, and start-up activities
    • Collaborate across departments to resolve complex admissions and registration issues and ensure policies and procedures are applied consistently  
    • Work with the Manager of Marketing, Communication, and Events to keep front desk, admissions, and registration processes running smoothly during recruitment priorities and events

 

 

 

 

 

 

  • Data Entry, Data Quality, & Standards Monitoring:
    • Ensure accurate and timely data entry in Colleague and related systems while maintaining high standards for documentation, coding, and records management
    • Monitor workflow compliance through audits, quality assurance activities, and routine standards monitoring
    • Develop and maintain procedures, reference tools, and quality-control practices that support consistency and operational effectiveness
    • Identify data process issues, recommend improvements, and collaborate with the Associate Registrar and the Manager of Institutional Reporting Colleague Administrator to support system testing, reporting reliability, and process improvement
  • Reporting & Enrolment Support:
    • Prepare admissions, registration, and enrolment records to support operational planning, start-up activities, and institutional decision-making
    • Monitor enrolment trends, processing timelines, and learner access barriers to identify emerging needs and opportunities for improvement
    • Maintain accurate records and documentation to support reporting requirements and evidence-based planning
    • Contribute to enrolment management initiatives, learner progression strategies, and Registrar’s Office projects
  • Learn Service, collaboration, & Institutional support:
    • Promote culturally responsive, trauma-informed, and learner-centered admissions and registration practices
    • Support learners directly during high-volume periods and complex service situations to ensure a positive learner experience
    • Collaborate with internal departments and external partners to coordinate services, orientations, information sessions, and other learner-focused activities
    • Actively participate in institutional committees and projects while supporting the Registrar and Associate Registrar with operational priorities across campuses and delivery locations
  • Compliance & Confidentiality:
    • Ensure admissions, registration, and records practices comply with NVT policies, FOIPPA, and applicable regulatory requirements
    • Maintain confidentiality and uphold professional, ethical, and collaborative standards of conduct
  • Ensure documentation and records management practices support consistent decision-making, records retention, and reliable institutional reporting

Qualifications:

  • Bachelor’s degree in Education, Indigenous Studies, Business Administration, Public Administration, or a related field. A Master’s degree is preferred
  • A minimum three years of experience in a post-secondary student services environment, including admissions, registration, records, enrolment services, or a related area
  • Supervisory experience, preferably in a unionized environment, with demonstrated ability to coach staff, coordinate workloads, and maintain service standards
  • Demonstrated understanding of Indigenous histories, knowledge systems, languages, cultural protocols, and the impacts of colonization on educational access and learner success
  • Knowledge of indigenous post-secondary trends, priorities, learner supports, and barriers to access and retention
  • Strong knowledge of the learner cycle and the relationships between admissions, registration, records, advising, retention, and graduation,
  • Advance proficiency with Microsoft Office, Teams, SharePoint, Colleague or another student information system, Self-Service, Informer, and data reporting tools
  • Advances Microsoft Excel skills and strong data-management ability, including extracting, validating, analyzing, and reporting admissions and enrolment data
  • Familiarity with the post-secondary Central Data-Warehouse (CDW) data quality and standards
  • Demonstrated ability to monitor data-entry standards, identify quality issues, document procedures, and implement process improvements
  • Superior interpersonal, written, and verbal communication skills, including the ability to respond to learner and community concerns with diplomacy and professionalism
  • Strong organizational, analytical, project-coordination, and problem-solving skills, with the ability to manage competing priorities and meet deadlines
  • Ability to work independently and collaboratively across teams, campuses, and delivery locations while maintaining confidentiality
  • Availability for travel and occasional evening or weekend work to support institutional priorities
