The Canadian Municipal Network on Crime Prevention is seeking an experienced, professional, and personable Administrative Assistant to join our team.
The individual we are seeking is highly skilled in all aspects of office administration, willing to work remotely, and self-motivated. The role is well suited to someone who has strong organizational skills, great attention to detail and experience working in a fast-paced environment.
Reporting to the Executive Director, the Administrative Assistant will provide a range of administrative services for the Canadian Municipal Network on Crime Prevention including:
Membership Liaison
• Respond to phone and email inquiries either by responding directly or referring potential members to the appropriate source of information
• Manage the Community of Practice member-only site including updating/uploading information, uploading webinars and documents, meeting agendas and minutes in collaboration with support from staff and IT consultant
• Support members with access to the internal site
• Quarterly updating of membership contacts
• Process membership applications
• Schedule onboarding meetings with CMNCP staff and new members
• Support membership fee invoices
General Administrative Duties
• Create and update guidelines and/or protocols in partnership with senior management
• Schedule meetings, prepare meeting agendas and packages, take minutes, ongoing communication, track tickets (e.g., Eventbrite) and attendees, support guest presenters, support online polling, communicate with speakers, create speaking notes
o CMNCP Board Meetings (10 annually)
o CMNCP National Meetings (2-3 annually)
o CMNCP Webinars (6-8 annually)
• Reviewing, scribing and editing documents
• Communicate with insurance provider
• Other tasks as identified
• Completion of a post-secondary certificate in office administration or equivalent and a minimum of two (2) years related work experience. Equivalent experience will be considered
• Strong word and data processing skills using programs of the MS Office Suite (Word, Excel, PowerPoint,
Outlook) and TEAMS/Zoom or similar platforms
• Prior experience using Adobe Suite, project tracking systems and/or related computer software is an asset
• Highly organized with great attention to detail and accuracy
• Fluently bilingual in French is an asset
• Basic knowledge of financial processes is an asset
